Site Maintenance Instructions

Welcome to the ExtraLib.Com Service Center

You'll find here the instructions and resources that will let you set up and maintain your ExtraLib.Com library Web site. Please note, however:

  1. You must have reviewed and accepted the ExtraLib.Com service provision agreement.

  2. You must have submitted your ExtraLib.Com application to Aries Systems.

  3. Aries Systems must have approved your application, and created the environment for your Web site. As part of this process, Aries will notify you of your library account identifier, and your password for FTP uploading of your Web site pages.

  4. If you're not familiar with FTP operations, and how to write HTML (HyperText Markup Language) pages, we encourage you to find local assistance. These are not very complicated, but beginners will definitely benefit from the help of someone with experience.

FTP Access to Your Web Site

All modifications that your make to your ExtraLib.Com site are accomplished by uploading of new or modified HTML pages to your private directory on the ExtraLib.Com server.
  1. We recommend that you keep a copy of all of your ExtraLib.Com site pages on your local computer.

  2. Make changes, additions, etc., to these pages on your local computer. Verify the content of you pages by viewing them in a Web browser before uploading them to the ExtraLib.Com server.

  3. When you're ready to upload your changes and additions, point your FTP program to:
    Site:ftp.ExtraLib.Com
    Username:your ExtraLib.Com library code
    Password:your ExtraLib.Com password
    Be sure to place your Web pages in the appropriate directories on the ExtraLib.Com server. Remember that Aries does not make any corrections to these pages -- they are totally the library's responsibility!

Setting Up Your Web Site

  1. Connect to the ExtraLib.Com FTP site (as described above) and download your "starter" Web pages (these will have been put onto your site by Aries). All of these Web pages are in the directory called LibPages. Download this entire directory to your local workstation. You should make a backup of all of these files, in case you later upload files that you then discover are incorrect.

  2. You can modify the three HTML files in LibPages (LibraryCustom.html, LibAddress.html, SecondPage.html) as you wish. However, do not change the names of these files! Use a plain-text editor program of your choice to modify these files, or create additional files. If you use a word processing program, be sure to save the modified file(s) as plain text.

  3. Modify the LibAddress.html file to reflect the identity of your library. The contents of this file are shown on your home page, in the lower left corner of the screen.

  4. Modify the LibraryCustom.html page to reflect what you want to appear on your home page. The contents of this file are shown in the main "frame" of the home page (center part of the browser window).

  5. Modify the SecondPage.html file to provide additional content, links, etc. for your Web site. The SecondPage.html file is linked from the "OTHER LINKS FOR THIS LIBRARY" button on the home page.

  6. When you've made all the changes and additions you want, use your FTP program to upload the additions and changes into your LibPages directory on the ExtraLib.Com server. The correct organization of this directory is:

    Be sure not to inadvertently make a new LibPages directory inside the original LibPages directory (this will not work!).


Setting Up Your Library Local Holdings File

If you subscribe to Knowledge Finder reference databases from Aries, your ExtraLib.Com site can include support for Library Local Holdings. This feature lets you identify the journals to which your library subscribes (both print and electronic). You can also establish specific holdings statements for each title in your collection. The holdings information is displayed whenever a MEDLINE record is retrieved and displayed. Searches can also, optionally, limit the search results to just the titles in your local collection.

To set up your Library Local Holdings file for use on Aries' servers:

  1. Download and install the Knowledge Finder Local Holdings Maintenance (LHM) program for Windows or Macintosh.

  2. The LHM program lets you select individual journals from an electronic master list, or you can import your local holdings data from another electronic environment. Your import data, if you use this option, must consist of, at a minimum, the ISSN of each journal in your collection. The import data can also include journal title, and title-specific holdings information. The LHM program creates a ".CLH" file. Name this file "XXX.CLH", where XXX is your ExtraLib.Com library code.

  3. When you've created your .CLH file, upload this file using FTP to your ExtraLib.Com server.

  4. Send an e-mail to TechSupport@kfinder.com indicating that you've uploaded a new (or modified) .CLH file, and that you'd like this to be installed on Aries' servers.

  5. Aries will install the .CLH file within 2 business days (hopefully faster in the future!), and your searching will then reflect the contents of your Library Local Holdings file.
