Overview
ExtraLib Library Local Holdings allows the medical library to integrate serials holding information with bibliographic reference databases used by the library. Database retrieval results indicate the serial holdings information, and search results can be constrained to just titles held by the library. Locally held titles are specified with a simple-to-use maintenance program (available for both Windows and Macintosh computers). Holdings information is keyed by ISSN, and can include title specific details.

Local Holdings can be used with all ExtraLib bibliographic databases, including MEDLINE, CINAHL and Knowledge MedRef. The module is also compatible with Knowledge Finder's QuickDOC ILL (Inter-Library Loan) interface, providing indication of locally-held titles to QuickDOC.

Holdings Maintenance

The Local Holdings module includes software that lets the library identify every journal held by the library. An on-screen master list of journal titles provides a point-and-click source for identifying and selecting the locally held titles. A general holdings statement can be associated with all selected titles, or specific holdings statements can be created for individual titles or groups of titles. A holdings statement shared by multiple titles can be globally changed with a single command.

Holdings Import/Export

Libraries who maintain a serials holding list in an external system can import holdings data from that system, simplifying the Local Holdings maintenance task. Holdings data are imported in a simple "tab-delimited" format - data elements imported include ISSN, title, and optional title-specific holdings statement. Imported holdings records can reference ISSNs that are not necessarily contained in the Journal Master file, facilitating incorporation of newly introduced titles.

If the library elects to use the Local Holdings module as its holdings authority, holdings data can also be exported for use in other systems. The export file also uses a simple, tab-delimited format, suitable for subsequent access in any computer environment.

Search Results Flagging

Whenever a bibliographic record is displayed in Knowledge Finder's document window, a special icon is provided that indicates the presence of Local Holdings information for the corresponding journal. The characteristic Bookcase icon provides immediate visual indication that the journal is locally held. When the user clicks on the icon, the detailed holdings information for the title is displayed in a small, pop-up window.

Search Limiting

A Knowledge Finder user can limit search results to locally held journals (as designated in the library's Local Holdings file). A simple check-box in the Knowledge Finder Search Formulation window allows the user to select "Local Journals Only". All subsequent searches will then be automatically limited to the titles identified in the Local Holdings file. Search limiting is extremely efficient, even in single station environments - additional search overhead is virtually negligible. Knowledge Finder uses high-performance "bit-maps" to designate individual articles in a particular database that correspond to the library's holdings. The Local Holdings limit bit-maps are stored on workstation or server hard drives for optimal performance, occupying minimal amounts of storage. The bit-maps are automatically generated and purged as necessary, requiring no maintenance by library staff.

Database Compatibility

Any Knowledge Finder bibliographic database, that includes ISSN information, can be used with the Local Holdings module. Compatible databases include MEDLINE, EMBASE Alert and Knowledge MedRef.

Platform Configurations

The Local Holdings module can be used on a standalone workstation, where the bibliographic database(s) and the holdings file are both accessed locally. In a network configuration, the Local Holdings file is maintained on a network server, and accessed across the network by the user. Libraries accessing databases across the Internet submit a copy of their locally maintained holdings file to Aries for installation on Aries' search server (future enhancements will allow the library to interactively maintain their Local Holdings data across the Internet). Maintenance of the Local Holdings file data requires either a Windows 95/98/NT or Macintosh PowerPC computer. User workstations accessing bibliographic databases may be any Windows 3.1 or later computer, or any Macintosh 68030 or later computer.
